Exporting to Poland

Poland on the world map
The EU's fastest-growing large economy and the most manufacturing-heavy of the big member states. Import demand is broad and deep, and nearshoring has pulled a large amount of component sourcing into the country. CE marking is the only hard technical gate, but Poland adds its own producer-registration duties that first-time exporters routinely miss. Best suited to components, power electronics and industrial sub-assemblies — a harder market for consumer brands with no local service presence.

1. Your category in Poland

Pick your category and this section shows what we actually hold for Poland: how many potential buyers we have verified, what roles they play in the supply chain, and how well they fit. Switch back to All industries at any time.

Import scale and growth by HS line is not on this page yet. We are wiring the customs statistics for each category and will add them here; until then we quote the figures per enquiry rather than publish an estimate.

“Potential buyers” means the buyers we have verified and listed in our own directory — not every importer in the country. Buyer roles are our own grouping of the roles recorded in that directory. (22 of these records do not yet carry a recorded buyer role.)

2. Entry gate

Poland applies the EU rulebook, so one technical file covers all 27 member states. The sequencing trap is different from most markets: CE marking is self-declared by the manufacturer, but the Polish producer registrations (BDO for packaging, WEEE and batteries) are filed by an authorised representative established in Poland — so you need that representative before your first shipment, not after.

RequirementStatusWhat it involvesLead timeCostLast verified
CE markingMandatory (listed goods)Directive compliance under LVD 2014/35/EU, EMC 2014/30/EU and RED 2014/53/EU. Self-declaration plus technical file and EU Declaration of Conformity; a notified body is needed only for certain categories.3–6 weeksPendingPending
BDO producer registrationMandatory (packaging / WEEE / batteries)Entry in the Polish BDO register (Baza danych o produktach i opakowaniach) through an authorised representative, plus a contract with an approved WEEE and battery compliance scheme.2–4 weeksAnnual scheme feePending
EU importer of record / EORIAlways appliesGoods must be declared by an EU-established importer holding an EORI number. A non-EU seller cannot act as importer of record; appoint a Polish importer or set up an EU entity.1–2 weeksPendingPending
Tariff (MFN)Always appliesAverage applied MFN tariff around 1.9%; the rate depends on the HS line and must be confirmed line by line at HS-code level.—On customs valuePending
Tariff (preference)Not availableThere is no free trade agreement between China and the EU, so Chinese-origin goods pay the EU common external tariff. A number of lines additionally carry anti-dumping duties — check your HS code before quoting.——Pending
VATAlways applies23% standard rate, charged on the CIF value plus duty at the point of import. A VAT-registered Polish importer can defer it under the simplified import procedure, and it is normally recoverable.—23%Pending
LabellingMandatoryPolish-language label with product name, composition, the EU importer's name and address, country of origin and safety warnings. The CE mark must be affixed legibly on the product or its packaging.1–3 weeks—Pending
Poland is technically the easiest large EU market to certify into, because CE marking is self-declared. The real gate is administrative: BDO registration and an EU importer of record must exist before the first container. Solve those two and the rest is documentation.

Certification, tariff and clearance figures change. Every row above carries a verification date, and the current requirement is confirmed with your nominated local agent before each shipment.

Every company below is a real business in Poland taken from our own buyer research, and we have verified that its website is reachable. Names and business types are public; decision-makers, direct emails and phone numbers are reserved for members of the Buyer Directory.

How to use this list: do not mass-mail. Polish purchasing is specification-led — send the technical file and the CE declaration with your first email. A distributor with an existing BDO registration and compliance scheme contracts is worth more than a larger buyer without one.

4. Demand and import profile

Select your HS code and this block shows the import performance of your own category in Poland — not the country's macro numbers.

Example: imports of this category run at a double-digit share of the market's total and are growing faster than overall imports.

6. Logistics and customs

Main gateways: Gdansk (DCT, deep-sea container), Gdynia, Szczecin–Swinoujscie
Asia–Europe direct sailings typically 30–38 days; the China–EU block trains via Malaszewicze take 12–16 days
Typical clearance 1–3 days for a complete CE and customs file
Common hold-ups: incomplete CE technical file, EORI or VAT-number mismatch on the declaration, HS lines carrying anti-dumping duty
Baltic winters and port congestion around Chinese New Year can add a week

Clearance-day figures change with congestion and policy; treat as indicative and confirm before quoting.

7. Payment, currency and tax

Dominant method: T/T, typically 30% deposit with 70% against copy of B/L
L/C at sight is workable for larger orders, though Polish buyers increasingly prefer open account
Invoicing in EUR is common and reduces currency risk for both sides; the zloty is freely convertible
60–90 day terms are normal for established suppliers — price them in, or cover with export credit insurance
Import VAT is recoverable by a VAT-registered importer, so it is not a real cost to your buyer

8. Localisation and communication

Polish buyers are formal at first contact and expect a written technical offer with the CE declaration attached. “We will come back to you” usually means the file has gone to the technical department — follow up once, with data, not with a discount.

9. Risks and timing

Medium
Currency — The zloty floats against the euro and the dollar. Invoice in EUR or hedge long-dated orders.
Medium
Competition — German, Czech and Turkish supply is already established, and Polish manufacturers are strong in the same component categories. Compete on specification and lead time, not price.
Low
Policy — EU membership and the single market make the regulatory environment predictable. The main variable is EU-level trade defence measures.
Medium
Compliance drift — EU rules on batteries, packaging and ecodesign are tightening on a fixed timetable. Budget for re-registration rather than treating it as a one-off.

Frequently asked questions

Do I need a notified body for CE marking?

Not for most power electronics. Low Voltage, EMC and Radio Equipment Directive compliance is normally self-declared by the manufacturer on the basis of a technical file. A notified body is required only for specific categories and for some radio products.

What is BDO and do I have to register?

BDO is the Polish register of products, packaging and waste management. If you place packaging, electrical equipment or batteries on the Polish market you must be entered in it, normally through an authorised representative established in Poland, and contract an approved compliance scheme.

Can I be the importer of record myself?

No. Customs requires an EU-established importer holding an EORI number. Most exporters use a Polish distributor as importer of record, or set up an EU entity if volume justifies it.

What is the import duty on my product?

Poland applies the EU common external tariff, with a weighted mean around 2%. The rate depends on the HS line and a few lines carry anti-dumping duty. Always confirm the exact rate for your code.

How much is VAT on imports?

23%, charged on the CIF value plus duty. It is normally recoverable by the importer, and a VAT-registered Polish importer can defer payment under the simplified import procedure.

Which port should I ship to?

Gdansk handles most deep-sea container traffic and is the usual first choice, with Gdynia and Szczecin–Swinoujscie as alternatives. For urgent or high-value cargo, the China–EU block train via Malaszewicze is often faster end to end.
